Understand Accounts & Contacts

Keep one clean record per client, so returning clients never need retyping and nobody gets the same SMS twice.

Who this is for: Brokers

The three building blocks

Record

What it is

What lives there

Contact

One person. Everyone has exactly one.

Name, phone, email, employment, income, address, licence and passport

Account

A household or group applying together

The shared fact find and household expenses

Lead

One deal, such as a home loan or car loan

The application. Still syncs to your aggregator as before

Rule of thumb: if a detail is true about a person whoever they apply with (ID, income, phone), it belongs on the contact. If it depends on who they apply with (combined expenses, joint fact find), it belongs on the account.

Example

Sarah and Michael apply together for a home loan: two contacts, one shared account, one lead. Later Sarah buys an investment property with her sister Priya. That's a new account (Sarah + Priya) and a new lead. Sarah's contact record doesn't change or duplicate.

Joint application fact find

Find a contact or account

  1. Click Contacts or Accounts in the left-hand menu.

Contacts and Accounts in the navigation
  2. Search by name, phone or email.

  3. Open a contact to see every account and lead they're linked to, and jump straight into any of them.

Good to know

  • All existing leads were migrated to contacts automatically. Nothing was lost.

  • Leads from integrations and the API are matched to existing contacts by email and phone.

  • You can't delete a contact linked to an active lead. Unlink it first. This protects compliance history.
