Sync to SharePoint and set naming rules

Every client document lands in the right SharePoint folder with a consistent name, without manual renaming.

Who this is for: Brokers, Enterprise admins

Sync documents (brokers)

  1. Open the lead and go to the Document Collection request.

  2. To sync everything, click Sync to SharePoint. To sync some files, click Select, tick them and then click Sync to SharePoint.

  3. Wait a few seconds, then check the folder in SharePoint.

Bank statements collected from September 2026 can also be synced. In the mobile app, open the lead, tap Documents, select files and tap Sync.

Set naming rules and folders (admins)

  1. Go to Admin > Document Naming Conventions and switch on Document Renaming.

  2. Choose when files are renamed:

    • Auto rename: as soon as a file is uploaded, everywhere in Effi.

    • Sync to SharePoint: only when synced. Best for high volumes; this also shows the Sync button to brokers.

  3. Click Add Naming Convention, choose a document type and build the pattern, for example John Smith - Driver Licence - 0225 (client name, document type, expiry MMYY). Check the preview and save.

  4. Set a default SharePoint folder, such as Clients/{{lead title}}, and override it for particular document types if needed.

  5. Optional: in Settings > Integrations > SharePoint, choose the SharePoint site and a root folder (such as the broker's name) to keep each broker's files separate.

Good to know

  • Your enterprise must connect its Microsoft SharePoint app to Effi first. Contact support to set this up.

  • Settings apply in this order: the broker's own, then the broker business admin's, then the enterprise's.

  • Syncing doesn't change files in Effi unless you use Auto rename.

  • Re-uploads can create extra versions in SharePoint. Delete older copies there if you don't need them.
