Build a pipeline that matches how your business really works, with the right stages for each loan type and each team member.
Who this is for: Enterprise admins
Key ideas
Parent workflow: every stage you want to track for a loan type, for example Unassigned, Contacted, Appointment Confirmed, Document Collection, Application, Lodged, Settled.
Child workflow (sub-stages): a subset of those stages, for example only the stages a loan processor needs to see.
Roles: admins build workflows and rules; contributors (brokers, processors) move leads; viewers have read-only access.
Create a workflow
Click Workflows in the left-hand menu, then Add Workflow.
Choose where it applies: Platform-level (all broker businesses) or Business-specific.
Add the main stages in order, then add sub-stages within each. Save often.
Set roles and permissions so each person sees the right stages.
Assign the workflow to the right broker business, team or users.
Test it: move a test lead through every stage and check what each role can see.
Set stage time limits (SLAs)
Open the workflow and click the cog on a stage.
Under the overdue settings at the top, set how long a lead can stay in that stage (months, days, hours or minutes).
Click Save Changes. Overdue leads show on the board and in the SLA report.
Mark your settled stage
Tick the Settled key on your final stage (for example Settled, Settled Paid or Binding Complete). Dashboards use it to calculate conversion. See Conversion rate: how it's calculated.
Good to know
Create a separate workflow for each product, for example home loans, asset finance and insurance.
