Every client meeting is recorded, transcribed and summarised, with action items ready to turn into tasks.
Who this is for: Brokers
Turn it on
Go to the Calendar page and connect your Google or Microsoft account if you haven't already.
Switch on Meeting Assistant.
Choose Audio Only or Audio + Video, give the assistant a name and optionally add custom AI instructions.
Click Save.
What happens in a meeting
For Microsoft Teams, Google Meet and Zoom meetings in your calendar, the assistant joins the lobby a few minutes early.
Someone in the meeting must admit it. If nobody does, nothing is recorded.
Recording and transcription start as soon as it's admitted.
After the meeting
Within about 5 minutes you'll get an email with an overview and action items. Click View Meeting Notes, or open the Meeting Notes tab, to see:
The recording and full transcript
An AI summary and action items
Participants and meeting details
Use AI templates
Generate structured notes such as Financial Snapshot, Client Profile, Needs & Objectives, Property Requirements, Decision Log or Q&A Summary. Copy them into an email, send them to the composer, or regenerate.
Turn action items into tasks
Assign an action item to a team member, set a due date and link it to the lead. Without a due date, it stays as a note.
Import a recording
Go to NoteTaker (Meetings) and click Import.
Choose an audio, video or transcript file, for example from a phone call or in-person meeting.
Keep working while it processes, then open it to generate notes.
Good to know
NoteTaker is free for meetings it joins. Imported recordings cost $2.50 per 30 minutes from 30 September 2026.
It works for internal meetings too, without linking a lead. When linked, notes appear on the lead for compliance.
Tell clients the meeting is being recorded.
